Setting up an Account – Existing Customers
If you are already a Suma customer you will need to contact us to on 01422 313845 to set up an online account.
Becoming a Suma Customer
If you would like to become a Suma customer please complete the form here to be contacted by the New Business team. The New Business team can be contacted on 01422 313861 or by email at newbusiness@suma.coop.
You cannot place an order with Suma Wholesale unless you are an existing customer, or become a customer.
Searching for a Product
If you are familiar with Suma product codes, then the simplest way to find an item is to enter its pricelist code (e.g LJ080) in the top right-hand search bar. The search bar can also be used to search by keyword (e.g. Tomatoes) or by manufacturer (e.g. Suma).
The advanced search feature allows you to search in a more detailed manner – you can search for an item with specific properties. (e.g. You can search for biscuits that are organic and fair trade)
If you can’t remember how the item you’re looking for is spelt – try entering the first three to four letters in the search bar. For example, ‘echin’ will find ‘echinacea’.
A different way of searching for products is to use the categories that run along the top of the site in the green bar. These are the same as the product categories found in the back of our paper pricelist. When you select a category, a filter will appear on the left hand side of your screen, which will help you to narrow that category down, changing the products you see in the central content area. Using the filter you can narrow the category down by applying 'Brand', 'BFGOSV' or 'Price' filters. Each filter will display a number next to it detailing how many products in the selected category belong to each group. For example, you have clicked on the chocolate category in the menu, and Fairtrade(21) is shown in the filter panel. This means 21 products in the chocolate category are Fairtrade. These filters can be switched on or off in the left hand filter panel.

To view more detailed product information, please click on the picture of the item, or its description. Please see the information below about product information.
Dietary Information and BGFOSV
Suma uses a labelling system to identify the qualities of various products:
B = Biodynamic
F = Fair-Trade
G = Gluten Free
O = Organic
S = Added sugar
V = Vegan (this includes dairy-free)

Stock Levels
If items are out of stock, or we have low levels of stock you will be notified by email shortly after you have placed an order. If you need substitutions recommending for any out of stock items, please contact our sales team on 01422 313848, sales@suma.coop
Compare Items
The compare function allows you to view multiple products at once and view their properties (such as price) side by side. To add an item to your “compare” list, simple click the ‘add to compare’ link. When you are ready to view your “compare” list – click the ‘compare’ button on the right hand side of your screen and the list will open in a separate window. When finished, simply close the window.
Logging In
To login to your online account please follow the link in the top right hand corner and enter your Suma account number and password.
If you have forgotten your password, follow the link on the login screen and Suma will send you an email reminder.
If you have trouble logging in, please ensure that you have entered your account number and password correctly.

Templates
When you set up your account, you should be asked about templates you’d like to receive. Templates can provide you with a list of items that you already buy from us (these will have the word ‘My’ in front of them) or they will show you suggested items and best sellers.
To access your templates, go to the ‘My Account’ screen, and click on the ‘my orders’ link. This will list all your previous orders and any templates you have requested. If you would like to view a template, click on the ‘view’ link relating to that template. If you would like to add the template to your cart, click on the ‘use template’ option. Once added to the cart, you can amend any quantities, remove items or add them to your wishlist.
Wishlist
The wishlist will hold items you want to remember for later. For example – if you find an item you’d like to order, but not on the order you are currently placing, it can be added to the wishlist and retrieved later. Or if you find an item, but are not ready to place your order yet, it can be added to the wishlist so it is not forgotten for your next order. Items in the wishlist can be added directly to your basket, or emailed to others. Once placed in your cart, items will be removed from your wishlist.
Adding items to the Cart
To add an item to your shopping cart, simply click on the link that says ‘add to cart’ below the item. This will automatically add a quantity of one to your cart. To add a different quantity to your cart, click on the image of the product, or the product description. Next to the picture of the product will be a small box with the word ‘quantity’ written next to it. Enter the amount you would like to order and click the ‘add to cart’ button.
Removing items from the cart
To remove an item from your cart, click on the ‘my cart’ link, to go to the cart. Find the item you wish to remove. To the left of the item there is a small purple 'X' icon. Click on that icon and the item will be removed. To change the quantity of an item in the cart, use the white box with ‘quantity’ written above it. Type the correct quantity for that item in the box. This can be done with as many of the items in your cart as you wish. To save the changes, click the ‘save cart changes’ button that appears at the bottom of the cart screen.
If you do not click the ‘save cart changes’ button, then any changes to the quantities you have made will not be saved.
Changing the Cart
You can change the items in your cart at any point up to the final placing of your order. To view your cart, click on the ‘My Cart’ link on the right hand side of the web page.
To remove an item from the cart completely, click the ‘remove item’ icon that appears next to the item you wish to remove.
To change the quantity of an item in the cart, use the white box with ‘quantity’ written above it. Type the correct quantity for that item in the box. This can be done with as many of the items in your cart as you wish. To save the changes, click the ‘save cart changes’ button that appears at the bottom of the cart screen.
If you do not click the ‘save cart changes’ button, then any changes to the quantities you have made will not be saved.
Cheese Weights
Certain cheeses are priced by weight. When ordering cheeses that are priced per kg, please order the amount of pieces you would like. Cheeses come in various sizes – some have an average weight of 250g, whilst others have an average weight of 2.5kg. The price quoted on the website is the price per kg, this price will change at invoicing when the exact weight of the cheese picked for your order is known.
Placing an order
Once you have finished shopping, you need to place your order. To do this, please click on the checkout link that is visible on every page of the site after login.
This will take you to a review of your order – you can check or change quantities of an item at this point, or remove items from your basket. You can add to your cart until you click the final ‘Place Your Order’ button.
If you’re happy with your order click on the ‘proceed to checkout’ button within the cart. This will take you to the delivery stage. Select the delivery address from the drop- down menu and click the ‘deliver to this address’ button.
If you need to add a new address, click the ‘deliver to a different address’ button. This will bring up a drop down menu with a ‘new address’ option at the bottom – select this option and enter your new address in the box that appears. If you would like to save this address for future use, simply click the save option.
When you have completed the delivery information, click the ‘continue button’.
You will then be taken to the terms and conditions section. Please read the terms and conditions if you haven’t already done so. Please click the box to say that you have accepted the terms and conditions.
You will not be allowed to continue in placing your order if you do not accept the terms and conditions.
If you need to add a note, click the ‘add a note’ box at this stage and write the information in the box that appears. Please write any delivery instructions you may have at this stage.
When you have accepted the terms and conditions, click the ‘continue’ button.
You will be taken to the order reference page. Please enter an order reference in the box provided. The reference can be a purchase order number, the name of the person placing the order, where the order is for (shop, café etc) or whatever seems appropriate.
Click on the 'continue' button to be taken to the order confirmation page.
A summary of your order will now be shown – you can still change amounts, remove or add items at this point. If you do add an item to your order and leave the order confirmation screen, you will have to complete the order placing process again.
If you are happy with your order, click the ‘place your order’ button. After a few seconds you will receive a message with an order reference. You can now log out or continue browsing.
Please note: once you have placed an order, it is not possible to remove items or change quantities. Items can be added to your order, but these must be placed separately. Please ensure that your order is placed accurately. If you have ordered an item incorrectly, please contact our sales team on 01422 313848 to discuss options.
Add a delivery detail
If you need to add a delivery note for our driver (e.g. please ring with an estimated time of arrival) this can be done at the checkout stage. When you reach the ‘terms and conditions’ stage tick the box next to the words ‘click to add a note’. This will bring up a box where you can type any instructions for the driver.
Order reference/Purchase order numbers
At the checkout stage you will be asked to enter a reference for the order. If you have a purchase order number for the order, please enter it here.
You must enter a reference for the order – this can be anything you would like it to be, it is useful to think of a unique way of identifying your order. For example 'Main Shop Order - 15th Jan' or 'All my chilled lines'
View Recent Orders
To view a recently placed order, click on the “My Account” link (you need to be logged in to view your account details). On the dashboard screen you will find overviews of your most recent online orders.
Please note, the website will only display orders that you have placed online. If you have recently placed an order in another manner (by phoning, faxing or emailing our sales tales) this will not be shown on the website.
To view a recent online order in more detail, click on the ‘view’ link relating to that order. This will display the details of your previous order.
Any order displayed on your account page can be re-ordered. To re-order a previous order, simply click on the ‘reorder’ link. If you click on the ‘view’ link, there is also an option at the bottom of the page to re-order. Quantities of certain products can be changed at the re-order stage by changing the quantity in the white box. Items can be completely removed by clicking on the ‘remove item’ icon. Items can also be added to a re-order at this point.
Please note: once you have placed an initial order, it is not possible to remove items or change quantities. Items can be added to your order, but these must be placed separately. Please ensure that your order is placed accurately.
Changing my addresses
To change your delivery and billing addresses go to the “My Account” area of the website when you are logged in. To visit the “My Account” page at any time click on the ‘my account’ link in the top right hand corner of the screen. You will be taken to the “My Account” screen every time you log on.
To change your delivery or billing address permanently follow the ‘change my address’ links from the “My Account” page and enter your new details. If you want to enter a temporary delivery address, do so when you place your order. See the placing an order section for more details.

Changing my password
To change your password go to the “My Account” area of the website when you are logged in. To visit this at any time click on the ‘my account’ link in the top right hand corner of the screen. You will be taken to the “My Account”” screen every time you log on.
Click on the ‘change password’ link from the “My Account” screen, enter your existing password, and your new password twice in the given boxes. Click on the ‘save’ box to apply the changes.
Reviews
To write a review of a product, click on the product you’d like to review and follow the ‘review’ link. You will be able to view your product reviews by going to the ‘My Account’ screen and following the ‘My Product Reviews’ link.
Tags
Tags can be added to a product by clicking on the product and adding a tag in the box at the bottom of the screen. You can view a list of your various tags by going to the ‘My Account’ screen and follow the ‘My Tags’ link. Tagged products can be added to your cart or your wishlist from the ‘My Tags’ screen.
If you give more then one product the same tag, all the products with that tag will be shown in the same list. Tags can be useful for grouping and viewing products of a similar type, defined by you.
Order Acceptance
After placing your order, you will receive an acknowledgement email. This email will detail your order and advise you on items that are likely to be out of stock, items that have been discontinued, and items where the price differs to that shown on the website.
You will receive a secondary contractual email when your order has been processed by the Suma sales team. This will detail when your order is likely to be delivered. Receipt of this email is subject to approval from the Suma credit control team.
The invoice with the final total for the goods ordered will be sent with the goods. Invoices can now be sent via email. If you would like to receive email invoices, please contact our customer support team support@suma.coop 01422 313843, or place a note on your online order asking for this service.

Order Deadlines
To provide you with the best possible service your order must be placed before the deadline for the week’s delivery. Main orders must be placed by 12 noon and additions can be made up to 3pm. The earlier you place your order, the better the service we can provide. Alternative arrangements may have to be arranged if your order is received after the deadline. Payment
Your order must be paid for through your usual Suma payment terms. Please see the terms and conditions for full payment terms. Goods remain the property of Suma until they are paid for. If you are unsure of your Suma payment terms, or would like to discuss payment options, please contact our Credit Control team on: 01422 313 847 or creditcontrol@suma.coop.

Returns
Deliveries on a Suma Vehicle
If you need to return an item, please give it back to your Suma driver. You will need to provide the invoice number the item appeared on, the Suma product code, your account number and reason for return. Handing in a returns note is the most effective way of doing this – you can order a pad of returns notes by adding NF134 to your order.
Damaged items or items received with an insufficient best before date should be kept for inspection by a Suma driver but do not always need to be returned to Suma.
Suma does not accept chilled returns. All returns must be in saleable condition. Suma does not accept the return of price-marked items.

Claims
All claims must be made within seven days of the receipt of goods. Please provide the invoice number, the product code, your Suma account number and the reason for the claim for each claim

Pricing
We try to keep our online prices as up to date as possible. Occasionally prices on the website may appear incorrect. After placing an order, please check your acknowledgment email carefully as this will detail any price changes. The acknowledgment email will also detail any agreed price differences (such as discounts), but will not display weekly promotion prices.
For items sold by weight (cheeses) the price will only be accurate at the invoice stage. Please see individual product information for an approximate price per cheese piece. Please order the number of cheese pieces you require and not the amount in kilograms.

From time to time packaging, recipes and ingredients may vary and change and the information on this site may not be as up to date as we would like it to be. Please always check the details on the packaging before using; this is especially important if there is a possibility of an allergic reaction.
